What’s the difference between a manager’s dashboard and a production dashboard?

What’s the difference between a manager’s dashboard and a production dashboard?

The basic differences between dashboards in Prodio.

cloud based manufacturing software

The manager’s dashboard – essential functions

You can manage production orders on the manager’s panel, set a production schedule, and drag and drop to prioritise tasks. What’s more, you can create a database of your products, so the know-how and product knowledge stay inside the company, not only in the heads of critical employees. Information about your products (including photographs, drawings, attachments) will become apparent, easy to understand, complete and always at hand. Each change made on the manager’s dashboard is visible in real-time on the production dashboard.

With just a few clicks, you can create a production plan displayed via a web browser at the production hall in an easily accessible form from any place in the world.

Your employees can see all assigned tasks and responsibilities, together with your comments and product characteristics. They know who should do each job, what exactly is supposed to be done, and what time. When the employee comes to work, they register their presence at work through a production planning panel using cards / RFID-based key fobs. Also, they register the start / the end of the performed operation, indicate the current state, and add additional comments. Everything is in your account in just a few seconds so that you can see all changes on the manager’s dashboard.

If you wish to share important news with your staff, you can add this information to tasks or use announcements. Your comments will be visible straight away on the production dashboard.

Production dashboard – essential functions?

On the production dashboard, you can check in / check-out at work.

You can also pick the task assigned to you to start work on the production order.

At the same time, on the manager’s dashboard, you can see who is working and what are they doing. Additionally, you know who checked in to work and picked the assigned task thanks to the right-side timeline.

On the production dashboard, it is possible to pick the task and complete work by giving the number of ready-made items (including the number of faulty ones, with the reason for their defect). You can also check out once you finish work for the day. Simultaneously in the manager’s dashboard, you can see all completed and ready tasks and check out from work.

It is not possible to make changes or drag and drop orders on the production dashboard. You can only do the tasks assigned to you by the manager.

Both dashboards are synchronised via the Internet, so all you need is an inexpensive, second-hand computer and online connection on your shop floor.

What are external order numbers, orders, and production tasks in Prodio?

When you come across all these different terms in Prodio, you might feel lost or confused or have a wrong impression that this manufacturing software is very complicated. There is nothing more misleading – read the following article to find out the hierarchy of orders in Prodio. It’s a proverbial piece of cake!

cloud based manufacturing software

External order number

Let’s start with the external order number – this is the number that connects all products on the customer’s order. Thanks to this number, you will be able to check the progress on any element of the order.

The hierarchy of orders in Prodio

It’s the easiest to explain with a practical example: imagine that you get an order from a modelling company (let’s name them ABC). There are two items on order: large paper planes (10 pieces) and small paper planes (20 pieces).

The ABC order from a company

How to write this order into Prodio?

Click add order, and there will appear a simple template ready to fill out.

There are four boxes you have to fill in:

  1. External order number – this is the number of the order you received from your client, in this case, the ABC,
  2. Estimated time of delivery – it’s the date when is your order due,
  3. Name of the product – in this case, large and small paper plane,
  4. The number of items ordered, respectively 10 and 20 pieces.

Once you add the new order, two separate orders on the list appear – one for the large planes and the second for the small ones. Each of them has the status new, so it has to be planned.

To both of the orders will be assigned Prodio ID. Additionally, you can set a technological path, attach different files, manuals, drawings, photos, comments, etc.

The order in Prodio is, in fact, the external order from your client, which is divided into particular orders for specified products with Prodio ID assigned to each of them so that you can monitor better the progress on the whole order.

When you add all vital information to your order, it is ready to be scheduled and shared with the shop floor. That’s when it translates into production tasks. In our example, each of the paper planes has to go through two operations: folding and painting. Production tasks are nothing else than tasks assigned to particular operations.

What are the benefits of this kind of hierarchy?

  • You get complete information on what’s happening on the shop floor; let’s say that Tom Smith started the operation of folding – in real-time, you can see in order details how many pieces he has already folded and how long it took him to finish this task.
  • You can check all details on the list of orders – which stage is the product at, if it is ready, almost ready, or the work hasn’t started yet.
  • What’s more, if you filter orders by the external order number, you can see how many products were made and sum up the whole order, checking its profitability, working time, raw materials used, etc. This, in turn, gives you handy information that helps you control your production much better and increase efficiency and productivity.

Production scheduling software for joiners and carpenters.

Production scheduling software for joiners and carpenters.

No more lateness and wasting time at production! Use this joinery software to manage work smoothly.

2 in 1 – together with production software you receive a tool to register employees check-ins and check-outs, without a necessity of buying additional equipment.

Why is it worth using  RWT function (Registration of Work Time), even though you already have card /fingerprint system:

You can  see an updated status, with information about who is present at work, what time they checked-in and whether they just “hanging around”.

If an employee checked-in but failed to start work, you can see that straight away in your panel (even when you are working at home).

Check, how much time % at work is really spend on working.

Very often it turnes out, that for 200 hours spent at the production hall, only 140 hours are effectively spent on working operations.

The check-out function is locked, until all tasks are closed, so you can monitor things better and stay organized.

Thanks to bar coded production orders employees easily navigate among tens of daily projects

Thanks to the orders print outs which “travel” as the product is moved from place to place, all employees know what’s what – and registration of progress can be done with bar code readers.

This solution ensures registration process is really fast and takes no longer then a few seconds, and you have active progress view.

Thanks to product templates you save time, standardize work procedures and minimize mistakes.

The rule is simple – instead of creating each time a product for the same Client, use earlier defined template adding only data specific for that order.

This is possible thanks to any number of extra boxes, which you can add to your orders and products, and a possibility of attaching graphic files. How to add additional parameters? – click to see.

In your branch trusted us and helped to  develop software with their know-how:

Mainly carpentry manufacturers and joiners employing groups of several people:

  • door and door panels,
  • furniture panel producers / furniture fronts,
  • manufacturers of finishing elements, such as skirting.

Tips and tricks, how to adjust your new production management software

Prepare product templates; all what is left to do later – fill out customized for your Client boxes

If we look at the example of custom-made door order, creating a new product each time for different measurements and combination would be a madness and a total waste of time.

It proves a better solution to prepare templates for main groups / types of products yuo have, add to them production technology and everything what is constant and repetitive and simply drag it to your current order. Using Prodio’s joinery software it is pretty straighforward.

When a Client places an order you can complete information directly in the created template and fill out boxes for type of finish, size, door handle type – in this way, clear information will get to the production,

Give the production hall clear, one “click” orders

When you move very fast from order to order it is very important to make the whole process as easy as possible.

Print manuals with bar codes, which you put at the production hall – see how?

and use bar codes for registration – link.

Use tags to mark particular priming or sanding – to see clearly the stages of the whole process

Within this technology (as long as it happens at the same working station) separate priming and sanding by marking them as different processes – in the tag box type, write which time this is.

Thanks to this step you and your employees would see exactly which stage you are at and if you are stuck, where the problem is.

To produce multiple element products use tagging to mark their parts

Technology of the product allows you to set up a path both for door, as well as door frame, by tagging “door” and “frame” and clarifying that division.

Short-list with other suggested settings and useful tricks in production management:

What is the best to write down and set as “product” in Prodio:

The main type of products which you are going to personalize for the order.

Production plan – what can you set as machines / operations?

We recommend dividing into procedures ex. sanding, priming, varnishing, asembly, as well as for particular machines such as saw, file, etc.

Make sure to devide your view into separate production halls, to make it clear.

Production plan – tips regarding displaying  and planning

It is necessary for you to turn on previous operations tagging, so your employees know where to start and which procedure is still incomplete or queuing. How does it work?

Additional boxes, worth adding for your branch:

All features personalized in the product:
– parameters,
– RAL colour (we recommend to divide it into white / others),
– finishing, etc.

Additional TAG-s at the production hall and in the product categories

– types of processing, ex. Sanding 1, Sanding 2,
– components ex. frame / door wing,
– colours: white / colour (plus the RAL number in the product description).

Frequently asked questions by door, windows, furniture fronts and other construction woodwork manufacturers.

Is it possible for the one operator to operate multiple machines at the same time?

Yes, it is. Otherwise it wouldn’t be possible to register production effectively in your branch.

Is it possible to include additional procedures such as form assembly or packaging?

Yes, it is. It is possible to create different technological sequences as product’s technology part, which can be clearly displayed at the production hall.

How small manufactures related to interior finishing industry waste time and money?

How small manufactures related to interior finishing industry waste time and money?

How small manufactures from construction industry waste time and money?

Paul – one of Prodio’s partners, author of majority of the code and our CTO has recently finished a removal project. In the process he was able to see for himself, that things we are describing in series of articles are terrifyingly real…

There were plenty of examples of totally chaotic work on the side of suppliers, where companies made the product badly (starting from doors, through fixture modifications, fitted furniture, kitchen worktop), but it was enogh to choose ONLY 3, which show clearly how much time, profit and reputation lost those companies.

It turnes out, that the problem isn’t in poor quality or efficiency but mainly in huge losses made due to chaos in communication .

1. Case study – kitchen worktop

Who: small company with moder technology, employing about 15 people

What:  Fitted kitchen worktop with an undermounted sink.

Although the correct technical drawing was delivered, Paweł received a sing moved for about 1 meter, which made impossible kitchen fitting.

Costs for the company:

  1. A 3 meter long customized worktop had to be re-made. (raw material + production)
  2. A sink had to be again undermounted.
  3. Colection of mis-measured worktop in order to dismount a sink
  4. Large-dimension delivery to Pawła
  5. Reputation loss

Cost of approximately 1500 zł PLN, not including loss of machines and employees occupancy, plus additional reputation loss.

How would it look in Prodio:

When writing an order on the list of orders the employee would attach a PDF file from Paweł, and the file could be displaed at the production hall.

When offered Prodio software the company responded:

If they had one less complaint a month, Prodio would pay off after one week.

2. Case study – bathroom countertop

Who: small carpentry workshop

Co:  Impregnated bathroom countertop

After completing the order with a salesman at the company headquarter, wrtiting measurements and choosing the right models, an assembly team delivered the furniture. It turned out that both beds have 20 centimeter gap between a frame and the matterrace. Some of the bed elements were from the model with a headboard, on top of that the drawer which supposed to be under the bed was placed on the wrong side.
It hasn’t been solved yet.

Type of dicrepancy:

After choosing a desired color and model on the website Paweł placed an order by e-mail, and received (with quite a delay) a countertop in  a different color then the one ordered. After sending it back and waiting few more weeks HE AGAIN RECEIVED A WRONG COUNTERTOP AND THE PACKAGE WAS SENT TO A DIFFERENT CITY. Not having more time to spare he decided to give the countertop to a different carpentry shop, which will invoice the provider for extra sanding and re-painting. As we are writing this article, we don’t know if the second carpentry shop successfully completed the task.

Costs for the company:

  1. Collection of faulty countertop
  2. The countertop had to be re-made (once again sanding and painting)
  3. Protection with special oil
  4. Sending a countertop to a customer (Paweł)
  5. Cost of service in a local capentry shop.
  6. Reputation loss

Cost of approximately 1000 zł PLN, not including loss of machines and employees occupancy, plus additional reputation loss.

How would it look in Prodio:

When writing an order on the list of orders the employee would write in additional boxes “Color”:  Biscuit and information would appear on the print out passed to production, together with delivery address, etc.

When offered Prodio software the company responded:

249 zł PLN seems a bit steep.

3. Case study – beds

Who: small furniture producer employing – 40 people

What:  Beds

Type of dicrepancy:

After completing the order with a salesman at the company headquarter, wrtiting measurements and choosing the right models, an assembly team delivered the furniture. It turned out that both beds have 20 centimeter gap between a frame and the matterrace. Some of the bed elements were from the model with a headboard, on top of that the drawer which supposed to be under the bed was placed on the wrong side.
It hasn’t been solved yet.

Costs for the company:

  1. Part of elements for both beds had to be re-made
  2. Two additional assembly team visits (a truck-drive 80 km one-way + 2 employees working time)
  3. We’ll se what’s going to happen next…
  4. Reputation loss

Cost of approximately 1000 zł PLN, not including loss of machines and employees occupancy, plus additional reputation loss.

Even assuming, that Paweł was exeptionally unlucky each of the above examples shows that ONLY because of mistakes made in his case the companies lost the equivalent of 3 month access to Prodio software – so that would sum up the money saving excuses…

…because the biggest loss are time and energy, wasted on working uder pressure, in chaos trying to fix mistakes made under pressing deadlines, adding onto general confucion.

All mistakes came from the same source – broken communication which resulted in information not getting to a production hall. It could be easily avoided, by investing less then a minute of time in introducing Prodio in orders, thus information would automatically get where it supossed to.

Which equipment will work best to register production at the production hall? Computer, tablet or something different?

Which equipment will work best to register production at the production hall? Computer, tablet or something different?

Which equipment will work best to register production at the production hall.

One of the questions often asked concerns equipment used  to register production, namely where is it better to run the software: on a traditional computer or on a tablet? To help you dispel the doubts and make a decision, we prepared a micro-manual, where we try to solve dilemmas and guide you through the best and the most economic choice.

How do you use a computer / a tablet at the production hall?

Before we answer this question and make the most optimal choice, let’s remember how a comuter is used at the production hall.

The computer is mailnly used for displaying an updated list of tasks for indicidual machines with a possibility of registration of work progress. Additionaly each employee can check in / check out on entering the manufacture, so you know their exact working times.

The software is using a web browse, that’s why all actions can be done on tablet/smartphone, and Prodio’s servers are responsible for majority of calculations.

Tablet or laptop – what is better?

Using tablets fo registering production:

Tablets have great advantage – they are very easy to install at indivdual machines. They can simply be mounted on the handles and you don’t have to worry about  the space need for traditional computer. On top of it, tablets are quite inexpensive, which makes that choice economical.

However if are only at the testing stage of equipment at your production hall, please bear in mind:

  • using a tablet isn’t always as comfortable as it looks, because of protective gloves your employees wear very often. It is also very easy to get your device dirty and in that case it might not work properly.
  • visibility and clarity – on the bigger computer screen things will be easier to read, then on the small tablet.
  • when your employee accidentally minimizes the browser, at the computer the closed window can be brought back with one click of a mouse.
  • it is very important to remember a possibility of entering comments into the software ‒ using a cable keyboard connected to a computer guarantees speed and ease.

Using computers to register production:

Stanowisko do rejestracji produkcji i wyswietlania planu produkcji

  • Using a computer means having a bigger screen, which results in greater clarity of displayed content.
  • One of the indisputable advantages of the computer is an intuitive operation, almost anybody can use it without bigger problems.
  • Installation and configuration are easier in comparison with tablets and mobile phones.
  • Attachments – if there is a photograph or technical documentation attached to a product, it is much easier and faster to open it on the computer then tablet.

Which equipment you should choose to start with at your production hall?

When there aren’t many working stations at the production hall (only one or two) or when you are not sure what would work best, a computer (not a tablet) seems to be the pefect choice.

There is of course a dilemma: should you use a laptop or a traditional desktop cimputer with an additional monitor?

A desktop computer: it is more efficient and faster, but it seems to be more economical to invest in laptops.

Laptops: one of the main advantages is very easy configuration, because of its buil-in wi-fi module, so getting online it’s is much faster. In case of power cuts at the production hall. laptop’s battery can last for a few hours until, the electricity is back on and a restart won’t be necessary.

A laptop connected to a keyboard and a monitor – it is an ideal solution, which you can use at your production hall.

A valuable addition to the above set will be a standard keyboard and a mouse connected by cable. Considering the conditions at the production hall (dust and dirt) it will be easier and cheaper to replace, then notobook’s keypad.

When shall you use tablets?

It is recommended when you want to save the space and when your workers are able to register work fast. Tablets work best when the production plan is displayed at the TV screen.

Bar codes are a perfect complemet to tablets – next to machines are bar code readers and each time when the procedure is finished, the workers can scan the code to register progress in the system.

Once you made your choice, what exactly you should buy?

Technical requirements for computers

Technical parameters for computers are not excessive, because their main task is limited to displaying a website, as all calculations are done on sever. For the web browser to wor smoothly is needed:

  • 4 GB RAMi processor Intel i3 (when at the computerare going to be displayed many machines, minimal requirent is 8 GB RAM and i5)
  • Windows 7 or newer (recommended Windows 10)
  • Updated Google Chrome browser
  • Notebook’s screen (the bigger, the bettter – the best is 15,6 HD+)
  • external monitor (recommended) 22” or bigger (optymally FullHD 24”)

Where to buy? After-lease laptops, which fulfill these requirements, usually cost between 600 – 800 zł PLN gross (ex. allegro), computer screen more then 200 zł PLN.

Technical requirements for tablets and mobile phones

Regarding laptops technical parameters, the most important is OTG support funcion for USB, so any type of USB reader could be connected.

The safest way is to buy second hand, flagship models  ex. Samsung Galaxy Tab. The same regards mobile phones – it can be even 5-year old model, as long as it has OTG function.

Specific solutions for some industries:

Difficult working conditions and equipment
In case of difficult working conditions at the production hall (it’s dusty and dirty) the best solution is to put the laptop in the drawer or cupboard (to protect it) and leave out at the desk a computer monitor only.

Mobile workers
What about field work, assembly team, repairmen? The system we described works online. Thanks to mobile phones with an easier acces to the Internet then tablets, you can use it while working in the field, not just at the manufacture.

In the box “tags” write “parallel” and click enter.

Repeat the same action for other parallel orders. you can add other tags ex. “URGENT!”.

Use tags to see clearly, if the product goes through a machine/operation multiple times

there are some processes where a product goes through the same machine/operation multiple times and it’s hard to pin point which stage it is at. Tagging seems to be a great solution.

How to do it:

You can create and modify tags in “Settings”. Using contrasting colors lets workers quickly identify the tag.

While creating the technology of product, you can use the same machine tagging particular operations without a problem.

While planning tags will be automatically dragged to the production plan and visible from a distance to employees.

Fast overview of order’s total progress

There is no need to psend long time on searching work operations history, to find out at which stage your order is or how much time took to complete the order.

How to do it:

On the list of orders click magnifier symbol (check first wheter the order grouping is turned off), to see summery for each individual machine: planned time, completion time, number of pieces made.

Treat co-operators as machines or operations in technology of products

Sometimes outsourced operations are a very important technological element and an employee should know whether the product has already returned ex. from anodising.

How to do it:

Got to “Settings”, next “Machines” and create a new machine with the name of outsourced process ex. “Anodising”. It would be perfect to place it at the a different panel named ex. co-operation.

From now on a stock boy passing thep goods to a contractor can click start for “Anodising”, and on returnig goods marks the operation as completed. All workers at the production hall can see whether they can continue their work.

While planning tags are automatically dragged to a production plan and they are visible form a distance fo all employees.

In some manufactures machine work without employees supervision – ex.CNC machine can be left turned on all night. Register its work separately, so it won’t be confused with labour costs.

How to do it:

Go to “Settings”, next “Employees”. Create a new employee named “Automate” with a simple PIN code number.

From now on an employee clocks in on the machine a new “Automate” employee.

IT’s a good idea to assign additionaly one RFID key-fob to “Automate” employee, to make clocking precess easier.

Register production shortages as well as the batch and the amout of raw material used.

If you want to seal a production process even further start registering the reasons for shortages and the amount of raw materials used by the employees.

How to do it:

Register additional paramenetrs is very easy and accessible all the time to all wrokers. It’s enough to fill out extra boxes on the porduction plan.

To see which data is entered by the employees, you have to switch on additional collumns in work history.

Effective communication at the production hall with operation predecessors

On the production plan orders for which the previous operation hasn’t been completed, are automatically marked with a dark color. For example: as long as the operator of the milling machine hasn’t finished his work, the workers responsible for sanding won’t be able to see the order marked in dark color.

How to do it:

How does it work?

Widok poprzedników można włączyć i wyłączyć w dowolnym momencie.

Next, on the list of orders and others, hide PRODIO’s ID, and move to the first position “External order’s number”.

Register jobs not connected with production ex. cleaning, maintenance or service

To mange time better and further seal your production management, it’s worth to register all operations not only the ones regarding production directly.

How to do it:

Add a few products such as “Cleaning” or “Service” and create a new order for many items.

Add a new machine to a production plan and name it “Different works”. From now on all employees could register time spent on doing these additional works.

Compare with one click planned time and real order completion time.

Thanks to this solution you can easily check progress, without switching between different bookmars, and know whether the order is abve or under the line.

How to do it:

Click a symbol of magnifier on the list of orders (check if order grouping is turned off first). Then you can see a summary for each individual machine as PLANNED TIME and REAL TIME and number of pieces made.

Don’t let your workers to start work before clocking in their entrance ar the production hall

If you want ot make sure that an employee won’t forget to clock in on entering a  production hall – set a lock and make it impossible to start work without clocking in.

How to do it:

Go to “Settings” and next to “Main settings”, then check the option: “Don’t let workers start their work without “clocking in” firts..

Check who is clocking in and not doing any work on the machines

One look at the production panel and you will be able to see how many people just sit around not doing any work, and modify the working schedule to assign them some tasks.

How to do it:

Each worker who clocked in at the production, but failed to start work on the machine is marked on your desktop panel by flashing red symbol.

At any time you can check in the tab “Analyses” updated work overview. It will show you how many working hours each worker has, and how many of them they spent  working on the machines.

Work more comfortably thanks to horizontal working schedule view.

Thanks to horizontal production schedule you can see more and scrolling between windows is also more comfortable.

How to do it:

Faster production planing thanks to planning tips

Use software’s automatic planning tips to help you set the starting and finishing time for the working schedule. Based on time of the last production order for the individual machine / operation the software automatically sets it as the starting time for the said operation, and the finishing time is calculated based on a production technology

How to do it:

Go to settings and check “Planning tips” box
Właczanie podpowiedzi odnośnie planowania produkcji

When you enter many different jobs at the same time, the separate orders will indicate the finishing time following their efficiency rate, and you will be able to see a working schedule fullfiled daily, weekly or by the end of working shift

Checking individual machines and workers avaliability within the production plan

Thanks to this function you don’t have to worry, that you doublebooked a machine or an employee. You can monitor progress and track stages of work. What can you check using this function:

  • If you didn’t assign more then one task to the same machine or operation at the same time.
  • If you didn’t assign more then one task to the same employee.
  • If the following operation in technology:
    • does not start earlier then the previous one,
    • does not finish earlier then the previous one,
    • the software accepts a situation, when two operations are simultanious or when the second operation starts slightly later, but finishes at the same time as the first one.

How to do it:

Go to settings and check “Planning tips” boxWłaczanie podpowiedzi odnośnie planowania produkcji

Plan your orders as usual and then press the “Check occupancy” button

sprawdzanie poprawnosci zlecen produkcyjnych

Check displayed errors

Show your employees at the production hall how much working time is left to exceed the set norm

How to do it:

Displaying a history of operations and normed working time left at the production hall is turned off as default – but if you make a norm for the product automatically your employeess will see it at the production hall.

Check if you already printed technological manual to your order

How to do it:

On your list of orders we can see, which order bar code cards have been already printed.

Printing production orders (they can be also used as identification cards at production)

More on using bar codes in Prodio: SEE MANUAL.
